Development System for Monitoring Project at PT. XYZ

Information retrieval System is application where Students of the College can register their projects. All the Student data will be ware housed according to Year and Department. Students visiting the application will get the information of the existing projects and their corresponding abstracts which are been implemented in past 3 years. The software is being designed to inform the students whether the project has been implemented previously .We will use mining algorithm to match the keywords of the project. This application allows the current year students to register their project title along with their abstracts which will help them to compare their project with the previous years ones so as the project does not get repeated. The advantages of this system includes: improved usefulness, improved efficiency, reduced manual searching time.

Construction managers rely on ready access to a large amount of project information. The entry, processing, and flow of information is important in avoiding problems, delays, and claims on construction projects. This paper describes a study of the extent and nature of project documentation and project information flows within the construction industry. The study mapped various types of project information against the documents that typically provide the information and the construction management functions that provide and access the information. From this analysis, a computer system to support the task of project information management was designed. The problem analysis, requirements specification, system design, and system implementation are described. The system allows construction managers to enter information for a wide-variety of project events, cross-reference the various bodies of information, and use the information to monitor and control various aspects of a construction project. The objective of the study was not necessarily to improve upon commercially available project information and documentation tools, but to deepen and formalize our understanding of project information as an input to a larger body of work on integrated project information systems and data standards for the construction industry.

Project Monitoring is the process of keeping track of all project-related metrics that includes task duration and team performance, identifying potential problems and taking corrective actions necessary to ensure that each project is within the scope, budget, and specified timeframe. The University Infrastructure Development Office still has the traditional way of manually keeping the records of each project such as printed copy. The risk of having a permanent file document that is being produced as hard copy can be vulnerable to fire, flood, insects and so much more where we cannot retrieve those important files in case of those unexpected situations. Utilization of project management methods in practice in more extensive projects is, due to high demands, only possible with support of a Project Management Information System. Project managers can use a number of applications offering a wide range of functions in the areas of project planning, monitoring and continuous evaluation of project implementation, and final evaluation when it has finished. An important function offered by a Project Management Information System is the possibility of sharing data concerning the running projects across the project team and their surroundings. Project Management Information System applications are primarily designed to support project management, so it is worth considering how much the available applications support the project management methods defined in the project management theory, how much software applications make it possible to get support in individual stages of the project life cycle, and if this scope is sufficient from the point of view of quality project management. The evaluation involved selected project management methods suitable for individual project life cycle stages, and the scope of support of individual project management methods within the respective project life cycle stages was evaluated in selected software applications.

In Project Management Information System, there are different challenges while using this project management software. Project Management Information System (PMIS) is the mixture of the Technology and Project Management. Project Management Information System uses one or more software(s) to collect, organize and utilize the project information. Nowadays, to achieve the goals and objectives of the project is efficiently being done using the various PMIS tools. The important feature of the PMIS is that the scope, design and other features differ as per the requirements of the operational activities of the organizations. We can perform various operational activities which saves a lot of paperwork and it helps the project manager to get all the information in one place. When it comes to large-scale projects, there are lots of different work activities which can be done efficiently and accurately with the help of computers. If the computers are being used in the project to handle data, diagrams and such different activities, chances of making mistakes and inaccuracies are much lower than human work. The traditional approach to a whole project increases the time of work and all processes, where using computers saves time. During the project, periodic follow up is as important as other activities. Hence, using software for managing the project also does the periodic review of the project and helps to go through all processes during the project smoothly. Project Management Information System uses different software to manage the project like MS Project, Smartsheet, Accelo, Function Fox, and many more.

In a competitive world, companies lose customers and opportunities due to lack of organisation, failure to meet deadlines, bad planning, among other reasons. Project management is presented as a form to guarantee compliance with deadlines, costs reduction, sales increase, revenues growth, clients’ satisfaction, among other benefits. This paper presents the development of interfaces for managing and monitoring projects at Bosch Car Multimedia in Braga, Portugal. With the increasing number of projects under the supervision of CM/MFT3, the section had greater difficulties in monitoring projects’ status. In order to tackle the situation, tools for project status control and project status overview (cockpit chart) were proposed, so that the project management practices could be improved.

This paper presents the planning of purchase and supply of funds, and other inputs necessary to achieve the objectives of the project, processing products based on practices of public companies under the Law on Public Procurement, the process of acquiring, receiving and issuing goods, and how human resources (candidates) can be selected for initiation, planning, organizing, evaluation and successful realization of a project. To determine the most favourable tender in the bid process, the AHP method and Expert Choice program for decision support were used. This paper presents the alternatives and criteria based on which the final decision-making process for the procurement of funds for the project is carried out. The selection criteria do not only take into consideration extra services and delivery speed of resources that the company provides, but also the characteristics of the equipment for the project realization.

Integrated project for Year III has been introduced by the Department of Chemical and Process Engineering since 2007/2008 session. This project integrates three or four compulsory subject for each semester. The purpose of this project was to minimize student work load and help student to understand how each courses are related. Project monitoring is one of the procedures to evaluate the performance of integrated project. Since implementation of this project, the coordinator of integrated project will give feedbacks to the students on their performance after they have completed presenting their project. Even though this method is quite sufficient for student to learn their mistake unfortunately similar mistakes was repeated during their final year design project in final year. In order to overcome this problem, student self-assessment for integrated project was introduced during Semester II, Session 2011/2012. The results show that the students were able to detect their mistakes and errors, and some correction was done to their project.
