Abstract

The purpose of this article is to identify the key attributes of personal electronic records in order to develop systems that may enable people to manage them in the home. As more personal information becomes electronic, this is increasingly necessary. Personal electronic records were identified and categorised using interviews and virtual guided tours. Three main attributes were identified: primary user-subjective categories; attributes which identify the circumstances that give rise to the records; and attributes which describe the legal validity of each record. In addition to providing an improved understanding of personal electronic records in the home, these attributes are developed into a set of potential metadata fields.

Efforts to structure personal information find expression in various external representations (ERs) such as folder hierarchies, physical piles and analogous groupings of items on a computer desktop, user-assigned property/value combinations, annotations, file and folder names including leading characters, etc. But the ways in which these ERs develop over time and the roles they play in the management of personal information are poorly understood and poorly supported.

Investigating the Roles and Requirements, Manifestations and Management of Metadata in the Creation of Reliable and Preservation of Authentic Electronic Entities Created by Dynamic, Interactive and Experiential Systems: Report on the Work and Findings of

Metadata that is associated with either an information system or an information object for purposes of description, administration, legal requirements, technical functionality, use and usage, and preservation, plays a critical role in ensuring the creation, management, preservation and use and re-use of trustworthymaterials, including records. Recordkeeping1 metadata, of which one key type is archival description, plays a particularly important role in documenting the reliability and authenticity of records and recordkeeping systemsas well as the various contexts (legal-administrative, provenancial, procedural, documentary, and technical) within which records are created and kept as they move across space and time. In the digital environment, metadata is also the means by which it is possible to identify how record components – those constituent aspects of a digital record that may be managed, stored and used separately by the creator or the preserver – can be reassembled to generate an authentic copy of a record or reformulated per a user’s request as a customized output package. Issues relating to the creation, capture, management and preservation of adequate metadata are, therefore, integral to any research study addressing the reliability and authenticity of digital entities, regardless of the community, sector or institution within which they are being created. The InterPARES 2 Description Cross-Domain Group (DCD) examined the conceptualization, definitions, roles, and current functionality of metadata and archival description in terms of requirements generated by InterPARES 12. Because of the needs to communicate the work of InterPARES in a meaningful way across not only other disciplines, but also different archival traditions; to interface with, evaluate and inform existing standards, practices and other research projects; and to ensure interoperability across the three focus areas of InterPARES2, the Description Cross-Domain also addressed its research goals with reference to wider thinking about and developments in recordkeeping and metadata. InterPARES2 addressed not only records, however, but a range of digital information objects (referred to as “entities” by InterPARES 2, but not to be confused with the term “entities” as used in metadata and database applications) that are the products and by-products of government, scientific and artistic activities that are carried out using dynamic, interactive or experiential digital systems. The nature of these entities was determined through a diplomatic analysis undertaken as part of extensive case studies of digital systems that were conducted by the InterPARES 2 Focus Groups. This diplomatic analysis established whether the entities identified during the case studies were records, non-records that nevertheless raised important concerns relating to reliability and authenticity, or “potential records.” To be determined to be records, the entities had to meet the criteria outlined by archival theory – they had to have a fixed documentary format and stable content. It was not sufficient that they be considered to be or treated as records by the creator. “Potential records” is a new construct that indicates that a digital system has the potential to create records upon demand, but does not actually fix and set aside records in the normal course of business. The work of the Description Cross-Domain Group, therefore, addresses the metadata needs for all three categories of entities. Finally, since “metadata” as a term is used today so ubiquitously and in so many different ways by different communities, that it is in peril of losing any specificity, part of the work of the DCD sought to name and type categories of metadata. It also addressed incentives for creators to generate appropriate metadata, as well as issues associated with the retention, maintenance and eventual disposition of the metadata that aggregates around digital entities over time.

PERSONALIZED VIEW OF PERSONAL INFORMATION

In this paper the personal information is defined and analyzed with two different points of views. The analysis contains some statistics about the information that is requested by different types of services. Furthermore the information requested by the services is analyzed with the information gathered from Focus Group discussions concentrating on what personal information the users are willing to store on their personal trusted device and in what services and use situations the users are willing to use their personal information. These studies and analysis were carried out to find both user requirements for personal information management and user demand for ambient service provisioning.

The user-subjective approach to personal information management systems

Personal Information Management (PIM) is an activity in which an individual stores his\her personal information items in order to retrieve them later on. In a former article, we suggested the user-subjective approach, a theoretical approach proposing design principles with which PIM systems can systematically use subjective attributes of information items. In this consecutive paper, we report on a study that tested the approach by exploring the use of subjective attributes (project, importance and context) in current PIM systems, and its dependence on design characteristics. Participants were 84 personal computer users. Tools included a questionnaire (N=84), a semi-structured interview that was transcribed and analyzed (N=20), and screen captures taken from this sub-sample. Results indicate that participants tended to use subjective attributes when the design encouraged them to, however, when the design discouraged such use, they either found their own alternative ways to use them or refrained from using them altogether. This constitutes evidence in support of the user-subjective approach as it implies that current PIM systems do not allow for sufficient use of subjective attributes. The article also introduces seven novel system design schemes, suggested by the authors, which demonstrate how the user-subjective principles can be implemented. This short paper is the result of my preliminary research about the topic of Personal Digital Archiving we covered in my Electronic Records Management course, written with the intention of providing an overview of the concept of PDA by reviewing the existing literature about this subject, an initial exploration of the implications and challenges being discussed among PDA professionals, highlighting a few helpful resources for better management of PDA, and to point out a few proposed software solutions and best practices in the field. The focus of this paper is on discussing issues surrounding the idea of properly archiving personal digital properties by individuals themselves, and how libraries and other educational institutions can help people with the management of PDA. The main objective is to raise awareness on the important role libraries can play in educating members of their communities about the importance of preserving our digital personal memories, and heritage for future generations.

A conceptual framework for an interactive personal information management system

The growth of digital cameras has resulted in the creation of huge collections of personal photographs and video. Thus, in the last few years personal information management (PIM) has become an important topic in the information retrieval area, in which it is playing an interest role in managing and retrieving personal collections. Therefore, many previous studies have tried to visualize these collections in different ways. This paper aims to discuss the importance of visualization techniques that have been proposed in the PIM field in general, and it shows the main factors that have influence on visualizing an interactive PIM system interface for large collections of photographs and video in particular. The factors were identified through reviews of related work. The collated factors form a conceptual framework of interactive PIM system interfaces for photograph and video collections. The aim of the framework is to ensure full understanding about the personal information lifecycle and thus leads to the production of a PIM system that satisfies its intended users.

Personal Data Management – A Structured Discussion

In the coming decade, a seamless integration of our on-and offline lives will be necessary for a sustainable digital society. This requires urgent multidisciplinary debate on the collection, control and use of personal data in society. This paper proposes a framework that can be used to shape this dialogue. It is based on a neutral and consistent terminology that may support a constructive and fruitful debate, avoiding terms that have too often led to controversy and confusion. We have attempted to position in this structure state-of-the-art technology developments, including context-awareness, user-centred data management, trust networks and personal data ecosystems. It demonstrates clear relations between ongoing work in various groups and hence an urgent need for cooperation to achieve common goals. We argue that such cooperation can lead to the emergence of a personal data ecosystem that may truly support a sustainable digital society.

This essay considers the changing nature of personal materials in the digital age by examining changes in "personal" means of expression and "paper" formats. Much recent research in the profession has focused on electronic records, but the vast majority of it has dealt only with organizational records. The authors argue that new communications media offer increased opportunities to document the lives of individuals as we exist outside of organizational functions, but that archivists will need to consider broader societal implications of these innovations before collecting these materials. They analyze some possible strategies for archival retention of personal electronic records, and urge archivists to engage in further thought and discussion about how best to identify and preserve these materials.

In an ideal of personal information management or PIM, people always have just the right information, in the right form and at the right place, to meet their current information needs. Panelists all participated in a special workshop sponsored by the National Science Foundation to consider the challenges of PIM that must be met in order to make significant progress towards this ideal. Panelists will discuss key challenges of and promising approaches to PIM. Approaches discussed involve not only high-technology tools but also practical, teachable everyday techniques of PIM.
